Start with a small position group and a few approved plays. Preview the complete test before bringing your team in.

1. Create the team
Choose New coach on the sign-in page. Verify your identity with ChatGPT once, then enter your program name, level, season, WYG username, and six-digit PIN. Save the team code shown in your workspace. Future sign-ins use that code, your username, and PIN.
2. Prepare one install
Open Playbooks. Use starter examples to learn the controls, then create or import your own plays. Structured CSV and JSON imports create editable entries. Uploaded PDFs and images are source references; your staff must map and approve the testable content. Direct Hudl and XOS synchronization is not included.
For each play, confirm the call, formation, player responsibilities, route, and grading tolerance. Signal-only entries can be used for signal tests. Full-concept tests need the required assignments completed. The coach-approved content becomes the answer key.
3. Build and preview a test
Open Tests, select the approved plays and position group, then set the rep clock, due date, and attempt limit. Preview every rep as an athlete. Check route direction, alignment, wording, and scoring before assigning the test.
4. Invite staff and athletes
Owners invite assistant coaches; coaches add the roster and create athlete invitations individually or in bulk. Share each private invitation only with its intended person. Team codes alone do not grant access. Invitations expire, work once, and can be revoked.
Each person opens their invitation link and chooses a username and PIN. Athlete email is optional; use a roster ID or short display name where practical. Before using student information, confirm your school’s approval and the pilot’s data-handling agreement with WYG.
5. Run the first test
Athletes sign in, open an assigned test, and complete the reps. Use a reliable connection and keep the test open through submission. The server grades the approved answer key; the athlete then reviews misses. Coaches see completion, accuracy, retest improvement, and drawings that need review in Results.
6. Review and export
Review the first few submissions before expanding the group. Export results for your staff meeting. Program includes a portable program export and data requests; Audit trail records administrative actions. Time saved is an estimate, so compare it with your own grading time during the pilot.
When someone gets stuck
- Cannot sign in: check the team code and username. Five failed PIN attempts temporarily lock the account. A coach can issue a recovery code; use Recover on the sign-in page.
- Owner cannot sign in: use the existing-coach access link with the original verified ChatGPT identity, then update WYG access in Program. Contact WYG if that identity is unavailable.
- Invitation expired: revoke the old invitation and issue a new private invitation.
- No assigned test: check the athlete’s active status, position group, and the test’s status.
- Upload is not a testable play: map the source into the play editor or import a structured CSV/JSON file, then approve it.
- Unexpected score: review the submitted drawing and approved key before changing the next test. Preserve prior results for comparison.
