This pilot notice includes a children's and student-data section. It is a draft for attorney and district review before live student use.
What WYG handles
WYG stores a display name or roster identifier, team-scoped username, protected sign-in credential, team membership, role, position, optional jersey number and email, coach-authored playbook content, private source files, assignments, route drawings and selected answers, scores, timestamps, play/test version evidence, drawing-review decisions, support records, and an audit trail of important administrative actions. Athlete email is optional.
Authorized educational use
WYG uses data only to provide team access, teach coach-approved football concepts, grade assigned tests, reveal complete concepts after answers, report readiness, support disputed-drawing review, secure and maintain the Service, assist authorized users, and fulfill contractual or legal duties.
Uses WYG prohibits
WYG does not sell or rent student information, serve targeted advertising, create an unrelated commercial student profile, require unnecessary athlete information, or use student data to train a general-purpose artificial-intelligence model.
School control and children under 13
The School controls the educational purpose and may direct WYG's use and maintenance of education records. If WYG relies on School authorization for a child under 13, WYG limits processing to the School-benefit educational context, provides required notice, supports review and deletion, and permits the School to stop further collection. WYG remains responsible for COPPA duties that apply to WYG.
Sharing and service providers
WYG limits access to authorized members of the signed-in program. OpenAI Sites and Cloudflare support application deployment, compute, structured storage, and private file storage as necessary to operate WYG. The pilot does not use advertising networks or third-party behavioral analytics. Final provider entities and contracts must be confirmed before signing.
Retention, export, correction, and deletion
The School selects a retention window and may direct review, correction, export, restriction, or deletion. Authorized staff can immediately export a portable program record; owners can create a reviewed deletion request. Parent and student requests should ordinarily go through the School so it can verify authority and recordkeeping duties. Documented legal holds may delay deletion only for affected records.
Security and incidents
WYG uses program-scoped authorization, role controls, hashed credentials and tokens, private file access, server-side grading keys, immutable testing evidence, original-score preservation, and administrative audit events. Suspected incidents should be sent immediately to wygplaybookapp@gmail.com.
